Every respondent has a private link and sees only their own answers. The client administrator (usually the company secretary) manages the roster and the window and cannot see any answers. The lead reviewer sees the analytical pack, including free text by role class and number. The board sees the board report. The Chair also receives a private report. Every read of the reviewer partition is logged, and the client administrator may request the log.
Answers are attributed by role class (Chair, Independent NED, Non-independent NED, Executive director, Company secretary, Regular attendee), never by name or job title. A split is shown only where each side of it has three or more respondents; below that the report says views differed. The Chair is a class of one and is never attributed. The Chair chooses at set-up whether their own scores are included in the board report; the default is not.
Nothing anyone writes appears verbatim in the board report. Free text is synthesised into themes with counts. The raw text is visible to the reviewer only.
Answers, free text, follow-up questions and drafts are erased thirty days after the final report is issued. The engagement record, the roster of role classes, the encrypted email addresses used to invite and deliver, and the follow-on gate log are retained under the engagement letter. Report PDFs live in the recipients' inboxes, not on our servers. Pulse sessions are erased 72 hours after the last activity.
Database in the EU. The narrative in the reports is written on Google Vertex AI in the EU under the Google Cloud data processing agreement; nothing is used to train any model. Every score, status and split is computed in plain code, never by a model. Report emails are sent through Mailgun's EU infrastructure. The legal name of the entity under review and email addresses are encrypted at rest.
There is no registration, no password and no cookie banner because there are no tracking cookies. Hosting analytics are aggregate and cookie-less.
